There are 4 stages of a Client Tracker record. Potential Applicant, Applicant, Client and Graduate. You will use the automation of the system to move to the next stage. If you are importing records or adding records that aren't starting as a Potential Applicant, you should set the field Process Bypass to On.
A Client Tracker record is created automatically when you enter a new Contact with the Client record type or when you change the record type of an existing Contact record to the Client record type. Many of the fields will be pre-filled if you create a Client Tracker record this way. Simply click the link of the record created from the Contact's record to view the Client Tracker record.
You can also create Client Tracker records from it's tab or the Contact record using related lists. Filling it out from the Contact's record will auto-fill the Client field. You should very rarely have to enter a Client Tracker record this way. What follows is how to enter a new record and how set the fields to match what they would be if the record was created automatically.
From Client Trackers Tab
You can enter a new record from the Client Trackers Tab.
When a record is created automatically, if the Contact has an email address on their Contact record, it will set this field to Email. If they do not have an email address, it will set this field to In-Person/Phone.
This is a lookup field to Users. Select the user who is in charge of this process for this client. When creating a record automatically, it will be set to the current user.
